A shared mailbox is a mailbox that can be accessed by several people. It is suitable for situations where the email address remains unchanged while the users change. A shared mailbox requires the University of Jyväskylä’s Exchange staff email (@jyu.fi address).

In the Outlook Classic desktop application, the shared mailbox will automatically appear once permissions have been granted for the shared mailbox.
In the new Outlook desktop application, the shared mailbox will also appear automatically when permissions have been set for the shared mailbox.
If the shared mailbox address is, for example, email-address@jyu.fi, you can log in directly by typing the address in your browser in the format https://outlook.office.com/mail/email-address@jyu.fi.
Alternatively, you can open the shared mailbox in the Outlook web version by clicking your profile picture at the top right and selecting “Open another mailbox”.
In the pop-up window, enter the shared email address. When you click “Open”, the shared mailbox will open in a new browser window.
The Outlook app works similarly on both Android and iOS devices. Once signed in to the app with your university staff email, you can add the shared mailbox by selecting the “+” to add an account.
Choose “Add shared mailbox”.
Enter the shared mailbox address in the field provided.
The shared mailbox will appear alongside your university email account.
Try signing out of Outlook and then signing back in. If the shared mailbox is still missing, contact digital services via the HelpJYU form.
