What:
- Unused Mailman mailing lists will be deleted
- Mailman mailing list messages come from email addresses such as the following:
- For example, the content of the email messages starts with the following:
- Old Mailman will be replaced by the IdM/OMA Service lists / new groups.jyu.fi (M365 groups based email list service)
- List administrators will be informed in good time of the implications and actions concerning their list
When:
- Cleaning will start 02.12.2024
- Cleaning to be completed by end of October 2025
- List holders will be informed in good time of the implications and actions concerning their list
Why:
- There are lists in the Mailman service that are not related to the University of Jyväskylä or whose members no longer have ties to the university.
- The Mailman service is no longer updated by us and the outdated version contains security vulnerabilities and is not compatible with all current email systems, which may result in messages sent not being delivered.
- We want to standardise the management of mailing lists.
Who is affected:
- Anyone who maintains or participates in a Mailman mailing list.
The measures required from those who are affected by the change:
- If nothing is done, the list will be deactivated.
- Administrators:
- To retrieve mailing list messages, log in to the mailing list administration page with the list administrator password. Select "Go to list archives". From the archives page, you can copy and paste the messages from the list in plain text on a monthly basis.
- Please inform members of the list of the change.
Email lists in the future:
In the future, the university would have two mailing list services:
1. IdM/OMA - automatically generated and manual mailing lists
The service is intended for
- educational services (SISU mailing lists)
- internal communication between departments
- communication with the whole university
- other official University communications to users with University user accounts.
2. Groups.jyu.fi (M365 groups)
The service is intended for
- university communication, which also needs to reach external users who are involved in the university's activities but do not have University user accounts
- communication from external users to University user groups (e.g. project groups with both University users, members of external organisations and individual external members)
- communications from external organisations to University user groups (e.g. Certia communications to various administrative user groups)
- For subject and hobby associations within JYY, most of the members of the associations must have University of Jyväskylä user accounts.
NOTE! The list administrator must have a valid JYU username.
What kind of lists are not maintained:
- Lists unrelated to the university's activities
- Lists that only contain users who do not have university user IDs
- Hobby associations that are not part of JYY (members do not have JYU usernames)
