What to consider when your employment or studies end at the University of Jyväskylä?


If your employment or studies at the University of Jyväskylä come to an end, there are a few important things to keep in mind. This guide is intended to ensure a smooth transition and to help you retain important information.

 

Validity of user accounts after the end of employment or studies

The validity of university accounts varies depending on the nature of your relationship with the University. It is important to know when your account will be deactivated and to ensure that you save any necessary data before the account is closed.

Students: Accounts and access rights remain valid for two months after graduation.

Staff: Accounts and access rights (excluding Mepco and Certia) remain valid for two weeks after the end of employment. Access to Mepco and Certia ends immediately when the employment ends.

 

Saving your files

Files stored in the university’s cloud services should be transferred to a personal account or saved to an external storage device before your account is closed. This ensures continued access to important documents and files.

OneDrive

After the account is closed, files remain stored for 30 days. If you need access after the account has been closed, we can temporarily reopen it for a short period. Please contact us via the HelpJYU form to request file recovery.

Google Drive

You can copy files from the U: drive to another folder by dragging them with your mouse (e.g., to OneDrive or an external hard drive) or by using Ctrl + C to copy and Ctrl + V to paste.

 

Moodle

Students can download returned files from open courses one at a time (no bulk download tool available).

Teachers can back up courses, but restoring them requires Moodle access to view and use the course.

 

For Teachers – Notes on Exam:

1) Transferring exam rights to another person.

2) Make sure there are no incomplete exam returns left unmarked and unlocked.

 

Transferring Admin Rights

Remember to transfer admin rights to someone else to ensure continued access to shared files. Pay attention to eWorkspaces, email lists, Teams teams, and network drive (S: drive) folders where you are the administrator.

Role-based email lists: You can request admin rights transfer via the HelpJYU form.

Teams teams: Go to the channel where you want to transfer admin rights. Click the three dots → “Manage team.” Under the “Members” tab, find the person and change their role to Owner.

Network drive (S: drive): You can request admin rights transfer via the HelpJYU form.

 

Returning University Devices (for Staff)

If you have university-provided devices such as laptops or phones, they must be returned properly when your relationship with the university ends.

Devices should be returned to the Lähde Library janitors (1st floor).

Important things to check before returning your computer:

Windows:

Check the "MyTemp" folder on the C: drive. This folder contains locally stored files that will be lost after the computer is reset. Save any needed files before shutting down and returning the device.

Macbook:

Check the device’s storage and save any needed files to a personal cloud service (OneDrive, Google Drive, iCloud) or external drive. After saving, reset the Mac before returning it.
