You can join the meeting either from within Teams or from the invitation link in your email. You can start as a meeting organiser by joining as any other participant. For instructions on what to do during the meeting, read this page.
You can join the online meeting by clicking on the Teams invitation link at the end of the invitation email. This is perhaps the most common way to join a meeting for the first time. The invitation link will look like this or similar on a black background, in English or Finnish, depending on the language and topic you choose:
Another option to join a meeting is from a calendar entry in either Outlook or Teams. In Outlook, the "notes" section of the calendar entry has a Teams invitation link like the one above. In the Teams calendar, on the other hand, there is a direct "Join" button which can be pressed to join the meeting. The button appears in the calendar view only shortly before the meeting starts:
If you join a meeting by clicking on a link anywhere other than within Teams, the link will open first in your web browser. In the browser, you need to select "Open Microsoft Teams", which, when clicked, will first open the meeting setting in a "wait mode". So you can safely click on the link even if you are not sure about the sound, picture, etc.
If Teams is not installed as a desktop application, you can select "Join online instead" in your browser. This option opens the Teams web browser application with limited functionality. The desktop application is strongly recommended as the preferred way to use Teams.
In waiting mode, there are options for video transmission and background blurring, microphone muting and audio settings. After making your selections, join the meeting by clicking on "Join now".
During the meeting, you will have access to several functions.
After joining the meeting as basic, the textual discussion and the participants are hidden. You will see icons or video of other participants in the middle of the actual view.
From the toolbar, you can turn the video on or off, mute the microphone, split the screen, open a text chat and display a list of participants. Behind the three dots you'll find more functions and the red handset will exit the conversation.
In a meeting with many participants, it can be good to keep the microphone muted when you are not speaking. It is also worth considering the use of video footage where appropriate. For example, video can be used at the beginning of a meeting to create a sense of community, but it may be useful to keep it off for longer periods of time to prevent connections being lost. If your own connection fails, you can deactivate the incoming video from the menu by clicking on the three dots.
