How do I use secure email?


A secure email can be sent to any kind email address. There are two levels of security: "normal letter" and "recorded letter". Use the "normal letter" option to send messages containing personal or confidential information and "recorded letter" to send messages containing sensitive personal data or confidential information. 

A "normal letter" is sent by adding .s after the recipient's email address, e.g. matti.meikalainen@osoite.fi.s 

A "recorded letter" is sent by adding .phone_number.s, e.g. matti.meikalainen@osoite.fi.040xxxxxx.s, to the recipient's e-mail address. The recipient receives a pin code on his or her's mobile phone by SMS to unlock the encrypted message.

It is not recommended to open security emails on personal or public devices. 

A person outside the university can also send a secure email. The sender have to register on the secure email server at secure-mail.jyu.fi, after that is possible to send email to university addresses.

The maximum amount of attachments in secure email is approximately 38 MB, but please note that the maximum amount of sending attachments for the university's Outlook email client is approximately 20 MB.

University Windows Outlook users can install the Sec@GW plugin, which offers some additional features for sending encrypted emails. Outlook plugin installation guide:

1) Open the Software Center from your desktop.

2) Use the Software Center search to find the application "Sec@GW". Select a program.

3) Select "Install" and follow the instructions provided by the system.
