Deployment of Microsoft MFA in Teams (guest)


MFA (Multi-Factor Authentication) requires the users to identify themselves by more than a username and password. In practice this means that after entering your username and password, the sign in is further verified with the smartphone application (Authenticator) you have linked to the service. It is the same principle as used for online banking.

 

The setup takes a few minutes and is recommended to be done on a computer. You will also need a smartphone (either Android or iPhone) to connect to the service.

 

1. Start by updating your phone to the latest version.

 

2. If you are invited to the University of Jyväskylä Teams platform for the first time, the installation will start when you click on the "Open Microsoft Teams" button in the invitation sent to your email. Click "Accept" to accept the connection to the University of Jyväskylä platform.

 

3. If you are already invited to the University of Jyväskylä's Teams platform, the Microsoft MFA installation will start when you switch to the University of Jyväskylä (guest) platform in Teams. You will receive a message "More information required". This is the first step of the MFA installation. Click "Next".

4. Download the app. Next, the program will ask you to download the Microsoft Authenticator application. You can download the app from the Google Play app store on Android devices or the Apple App Store on Apple devices. Please note that the app is free and the app comes with this logo: (Required operating system for your phone Android 8.0 or newer, iOS 14.0. or newer)

 

Don't open the app yet! Let's continue the installation on your computer for a moment. Click "Next".

5. Next, we are at "Set up your account". Continue by clicking "Next".

6. You reach the point where you read the QR code from your computer. Go to the installation on your phone.

7. Open the Microsoft Authenticator application you downloaded from the app store. Click "Accept", then "Continue".

6. The Microsoft Authenticator application will then suggest adding the account. Select "Scan QR code".

Note! To add an account to the Microsoft Authenticator application, use the QR code only! Otherwise the application will not work.

7. Agree to use your phone's camera to scan the QR code. Select "This time only" or "When using the app". Scan the QR code from your computer screen.

8. You will notice that an account has appeared in the Microsoft Authenticator application for the University of Jyväskylä - youremailaddress_gmail.com#EXT#@jyu.onmicrosoft.com (example address).

Let's go back to the computer. Click "Next".

9. The program will then test that the Microsoft Authenticator program is working. Two numbers appear on the screen, which you enter into the Microsoft Authenticator application on your phone. Enter the number in the blank field that appears in the phone's application. Click "Yes". The app will then ask for your phone's password, facial recognition or fingerprint to verify.

10. Once you have accepted the login with the Microsoft Authenticator application, you will receive a notification on your computer that the login/notification is accepted. Click "Next".

11. Installation is complete. Click "Done" to confirm. The University of Jyväskylä Teams will then open.

 

Common problem situations:

 

1. You are logged in to Microsoft Authenticator, but Teams still says "More information is required".

2. Your phone is broken or lost. How do I get Microsoft MFA back on?

3. I don't have a smartphone

4. When searching for the Microsoft Authenticator app, Google Play or Apple Store will say "The app does not work on your device"
