You can use email in many different ways, like computer Outlook email client, web browser, or phone application. Between these there are some differences in email visibility that you should know. Read more about using email on different devices.

While using a web browser, Outlook web app, you see all the email messages and calendar appointments on email server since the beginning of when you started using staff email - or in case your employment begun before university started using Microsoft Exchange email service, from the beginning of use of Microsoft email service.
When using your staff email and calendar with the Outlook email client installed on your computer, the client settings affect for how long time period the email messages are locally saved on the computer. On default settings Outlook keeps all calendar appointments and one year of email messages on computer. You can see older mesages using a web browser to access your email, or by changing your Outlook settings to keep longer time period on computer. Digital services recommends using web browser.
When using your staff email and calendar on phone email application, the application settings affect for how long time period the email messages are locally saved on the phone. Typically only few days of email messages and few months of calendar appointments are kept locally on the phone. To see further appointments or older messages, we recommend using computer email client or web browser.
Changing email software settings on computer and phone can change the locally kept time period. When changing settings, consider your need and change settings accordingly. For most users the email software default settings are adequate.

It is not feasible to keep all your email correspondence filling the limited saving space of a computer or phone. We do not return to many days old messages so often. When necessary the messages can be found from email server using a web browser email. You should consider your device and software settings to match your need, but rather not hoard email locally for unnecessary long time period. For most of the users the email and calendar default settings are adequate.
